Chapter 1 Introduction

introduction

If you’re reading this e-see® user manual, will probably have been registered by a Brand Management Service provider or Contributor/Brand owner ** or you may be the appointed brand manager (or proxy manager) for your brand(s) listed on the e-see system or have been asked to go to www.e-see.com to download brand assets such as logos, products, photography, advertising, etc.

The e-see® brand management system™ used by brand owners (contributors) and brand management specialists to efficiently manage and distribute  digital brand assets such as logos, images, artwork, product images, documents, advertising and brand specifications.

Registered Users can search for, request access to and download brand identity and other digital artwork in the format they require, from a variety of brands. Anytime. Anywhere.

e-see system overview

Because we charge the contributor, this service is completely FREE to the user. All you need is an Internet connection, a standard web browser* and a user id and password. No special software is needed.

This e-see® quick guide is a brief introduction to the e-see® system and is designed to get you started. You can also read the full e-see® system user guide which is more detailed and include guidance for brand managers and system administrators.

This manual is available is also in a printable version and is intended to help you learn to use the system by stepping you through a typical user session and to act as a reference.

Context sensitive help is also available from each page of the site - so in most cases you should be able to get by without having to refer to this manual.

Additionally there is a quick start guide is you want a quick run through of a basic user session.

However we suggest you keep this as a reference and it certainly should help new users understand how e-see® works.

Please note that you can read this guide and find the answers to your questions in two ways.

There are 4 sections:-

Layout and Menus: A brief overview of page layout and menu structures.

Basics: This is designed for all Users and takes you through the system as a user would see it and is based around the user menu that you see on screen.

Advanced: This is designed for Managers and Proxy Managers and takes you through the system as a manager would see it and is based around the brand manager menu that you see on screen.

Resources

  • FAQ's: These are Frequently Asked Questions which will point you quickly to the right place in the guide for an answer. E.G. How do I find a brand ? will point you to the right Training section to find your answer rather than reading through the whole manual,
  • File and Data Types: Here you'll find an explanation of what data types are available for download and explained in plain English which files you should be using for what.

Chapter 2 Layout and Menus

page layout and structure

The pages that you see on the system are constructed as follows

 

  • Left hand Menu - main functional buttons. Different menus will appear depending on your logon rights.
  • Right-hand Menu  navigation and help button. Provide quick acces to important pages, help and contact details.
  • Cookie Crumb navigation - as you move through the site a navigation trail or history will be displayed at the top of each page (including this one) which help you get back to where you were previously.
  • Advertising - banner ads - click on these to take you some interesting places.
  • Security - this tells you this is a secure site using SSL encryption.
  • Copyright Statement - please read it.
  • Content Area - the white area in the centre of every page is the content area, where most of the action and information occurs.
  • Windows - we do not use frames in our page layout, but from time to time we do open a new browser window when you click on something. Remember to check which window you are working with if this occurs.


Left-hand menu - user

  Users (who are not managers) see an abbreviated left hand menu (as shown here).

search
Click on the search button to search for a brand or brand category by brand name, format name, product name or keyword.

contributors
Click on the contributors button to search for a contributor (brand owner) rather than a brand or category name. Use this when you want brand owner details or you’re not sure what the brand name or category name is.

*NOTE: You will not see this button in a skinned version of e-see.

activity rpt
Click on the activity button to display a report of your download activity on the system. You can view a report by any date range.

my details
Click on the my details button to edit your personal user details. You can change your password, and/or change or update your contact details.

view cart
Click on the view cart button to view the downloads you have added to your cart.

Right-hand menu

  All users see this menu.

home
Click on the <home> button to return to the e-see® home page.

start
Click on the <start> button to return to the e-see® start page. This is the first page you see after you logon.

contac
Click on the <contact us> button to view e-see® contact details including the helpdesk contact details.

help
Click on the <help> button to return open a new browser window and display context-sensitive page and help menus.

back
Click on the <back> button to return to the previous page or click back in the browser menu or the backspace key (in Windows).

log off
You should click the <log off > button whenever you end a session - but you will be logged off automatically after 20 minutes of no activity.

   

Chapter 3 Basics - finding, previewing and downloading

step 1 - logging on

  1. Point your browser to http://www.e-see.com

  2. When you first arrive at the site, you can opt to check out the public area to see what else we do at e-see® or just go straight to the logon. You need to logon to access artwork.

  3. Once at the e-see® home page click the purple <logon> button.




  4. At the logon page, in the User ID box , type your User ID (this is the User ID supplied in your “Welcome to e-see® ” email message. If you can’t locate this please call the e-see® Helpdesk), enter your password in the Password box (Note when you logon for the first time use your default password will be: e-see) then click the grey <Logon> button

First Time Users. When you logon for the first time you will be presented with a User License Agreement. You must read and accept this to proceed. Once accepted the Start Page will be displayed.

step 2 - first time users

First time users should read this, otherwise jump to step 3.

  1. From the Start Page.




  2. Click on the <my details> button in the left hand main menu.



     
  3. Change your password to one that is unique and easily remembered. Click the <Update Password> button to save the change (note the password must be at least 6 characters long).

  4. Check that your User Details are correct, particularly your email address which is used by the system to communicate with you, and change this, if necessary, by editing your details and clicking the <Save> button.

You are now a fully registered user and ready to go to work. Follow the instructions on the start page or refer to online help by clicking the Help button in the right hand navigation menu.

step 3 - search for a brand

  1. Click on the <search> button in the left hand main menu.



  2. Enter a brand name, product reference, keyword or phrase in the search box.

  3. Select to search ALL (default) brands or only Accessible (unlocked) or only  Not Accessible (locked).

  4. Click the grey <search> button to conduct the search.

  5. Search results will be displayed with:

    A list of brands, sub-brands and or categories found will then be displayed along with the Formats (or brand assets)  available under each brand/category.

    You will also note that some brands may appear locked (red closed padlock), and other may appear unlock (black open padlock).

    A maximum of 20 brands/categories will be displayed at a time, click the <Next20> button on the bottom of the Search Results page to view the next 20 that match your search criteria.

Tip: You can search for just the brands you have access to (unlocked) by leaving the search box blank, selecting Accessible and clicking the <search> button.

Please Note: if the brand or keyword is not found a brand search form will be displayed. This is an optional service where e-see® will attempt to track down the data for you even if we don’t currently store the data on the e-see® system. Please try to search again for a different keyword or spelling to make sure we haven’t got the data you want, before you fill out the form and submit it.

step 4 - select and preview a brand

  1. Click on the brand name or category name you want to preview to display the preview page.

  2. If you pick the wrong one, click the

    <back> button on the right hand menu (or in your browser toolbar) and select a different brand/category to preview.

    You can only preview one brand/category at a time.



Note 1: For Accessible (unlocked) brand you can jump straight to the download page by clicking on the Format Name.

Note 2: You can preview a brand even if it is Not Accessible (locked) and request access to the brand, but you will not be able to download files.

Note 3: You can preview a brand even if it is Not Accessible (locked) and request access to the brand, but you cannot download files.

step 5 - requesting access to a locked brand

  1. Click on the brand or category name you want to preview to display the preview page. If you pick the wrong one, click back on the browser or on the right hand menu and choose a different brand/category.

    Note that the brand is Locked (Red Closed padlock displayed) and the <Request Access> button is visible.  This means you currently do not have authorisation to access this Brand.

  2. Click the <Request Access> button. This will open the Access Requests page.

  3. Enter your reason for the access request in the "Reason for request" text box and click the grey <Request Access> button.

    The system will send an email to the brand manager listed (and any proxy managers) with your request and display then re display the page showing your Current Requests.

    This will show that your new request is pending an answer by the brand manager and if you have made other have requests during the month, a list of the other requests and the response received to date

  4. The brand manager will then answer your request by granting or denying access. You will receive an email advising you that access has been granted or denied, and next time you logon your access will be updated.




  5. Note 1: If you have an urgent request, you may also like to phone the brand manager. Click the Contributor name (hyperlink) to display the Contributor page and get a phone number.

    Note 2: Don’t request a brand more than once if possible, just send the manager an email by clicking on his/her  name or phone him/her or call the e-see ® helpdesk.

    Note 3: If urgent you may call the brand manager immediately, and he/she may logon and grant you immediate access.

    Note 4: You can request access to multiple brands but must complete these step for each brand or brand category that you preview OR you can contact the brand manager directly.

step 6 - downloading an unlocked brand

  1. Once you have searched for and found the brand or category you are looking for and then displayed the preview page, you can select a Format (brand asset) for download.




  2. Click on the thumbnail image of the format you want.
    This will display the download page for that particular format. Featuring a larger preview image and information about the Format (brand asset).




  3. Check the details to ensure you have the right format, note that the brand standards manual is also available from this page (if available for the brand).

  4. Select a variant (i.e. whether you want a SPOT, CMYK Process, B&W or other versions) and file-type from the list of available variants by clicking the round radio buttons on the right.

  5. Then Click the <add to cart> button at the bottom.

  6. The files you have selected can, at any stage be viewed by clicking the <view cart> button form the left hand menu. Click this if you would now like to download your files now. Otherwise continue to add more assets to you cart by searching again, or Clicking <back to brand>.


  7. Note 1: Assistance with which filetype to download for your particular requirements can be found online help or by clicking help-file types.



  8. Check your selections.

  9. In <view cart> Enter your reason for your downloading in the [Reason for Download text box]

    Please ensure this has some reasonable detail. This will be reported back to the brand manager via download and audit reports.




  10. Review the download details (note the file name and approximate download time based on a 56K modem connection)

    If you are not happy with the details, click the <abandon> button to return to the download page to change your selections.

  11. Click the <Download> button.

    Otherwise click <Email Link> to send your package to someone else, this can be done multiple times. Follow directions on screen. This Emails the recipient a link to a download page of the files you have selected already packaged.

  12. If you Clicked <Download>, Your web browser will then launch a dialogue box giving you the option to save to disk or open.




  13. Choose save to disk or save to file rather than open, choose a location to save to and click OK.  Viola - you’ve download a file.


  14. Note 1: Remember where you saved the file to. Often it is a good idea to save it to your desktop and then move to the folder where you want to keep it later.

    Note 2: All files are stored as compressed or zipped files. After you download a .zip file, you will need to un-zip it in order to be able to use the files. Most people have an application to do this. However if you do not (nothing happens when you double click on the file on your desktop), you need to download and install some software. You can download software to do this here or call the e-see helpdesk for assistance.

    Note 3: To download files you must have java scripting enabled in your browser security settings. If you are having problems downloading a file, check this setting or call the e-see helpdesk for assistance.

step 7 - viewing and downloading a brand standards manual

Once you have searched for and found the brand or category you are looking for and then displayed the preview page, you can select the Standards Manual for download or viewing.
  1. Click on the <get manual> button (if available - not all brands or categories will include a standards manual) to download or view the brand standards manual for this brand.

  2. This will open a new browser window and open the manual either for download to your computer or viewing online.




  3. If the Manual opens on your screen, you can read it online, but you may want to save it for reading offline or for printing later. To save the PDF file to your computer click the <save> button on the Acrobat toolbar (if displayed) or select File:Save As in the Acrobat menu (if displayed).

  4. To print the Manual, click the <print> button in the Acrobat Toolbar or select File:Print in the Acrobat menu.

  5. Close the window when finished to return to the preview or download page.


  6. Note 1: Standards Manuals are stored in Adobe Acrobat PDF format. Therefore you must have Adobe Acrobat Reader installed on your computer system to view the file. This is available as a free download here.

    Note 2: Opening the manual may take some time, depending on the file size and your connection speed. Please be patient - you are required by your license agreement to read and abide by the brand standards manual.

    Note 3: Most browsers will display Acrobat PDF files on screen or in your browser window before giving you the option to save to your computer. You can change this setting so it always gives you the option to save first. Consult your Acrobat User Guide or contact the e-see helpdesk for assistance.

other menu options

<contributors> button

Click on the <contributors> button to search for a contributor (brand owner) rather than a brand or category name. Use this when you want brand owner details or you’re not sure what the brand name or category name is.

<activity> button

Click on the <activity> button to display a report of your download activity on the system. You can select and view a report by any date range.


 

< contact us> button

Click on the <contact us> button to view e-see® contact details including the helpdesk contact details.

<logoff> button

You should click the <logoff> button whenever you end a session - but you will be logged off automatically after 20 minutes of no activity.

Chapter 4 Advanced - managing users, access and reporting

User Rights - guests vs users vs managers

When you logon, the system will recognize you and based upon the authorizations set, will display the menus that are appropriate.

Basically there are 6 different user levels:

  • Guest - access demo and "open access" brands/categories only. Cannot search for locked brands/categories and cannot request access to brands.

  • Registered User - as above plus can search the complete database and request access to any brand/category. Contact Contributors, See reports and edit user details.

  • Proxy Manager - as above plus can add/maintain users (who you have set-up)and grant access to managed brands/categories, view audit trails and reports.

  • Brand Manager - as above plus can add/maintain proxy managers.

  • Contributor Manager - has registered user rights and is normally the person who represents the brand owner and can maintain the Contributors Details page.

  • Administrator - as above plus have access to all brands, all users and all data. Can publish data through e-see administration application *(separate application)


Logging On

How to log on to the e-see site.

  1. Click the <logon>,<open access> or <test drive> button from the home page (or any other marketing page)

  2. Logon  -  if you selected Logon, complete the steps below

    1. Type your User ID.

    2. Type your Password.
      Both your User ID and password should have been emailed to you when you were first registered as a user. If you have forgotten your user id and password, please contact the helpdesk.

    3. Click the Logon button.
      This takes you to the start page with the menu that applies to your user rights displayed.


  3. Open Access or Test Drive -  if you selected <open access> or <test drive>. You will be logged on as a "Guest" with limited functionality. You will be able to search and download the e-see demo or any "Open Access"  brands/categories only.

    You can also register to become a registered user by clicking the register link on the start page or the e-see home page.

Note: If you are a new user you will need to accept the User License Terms and Conditions.

How to become a registered user and gain access to the e-see system.

For users of an e-see ® powered site (customer branded site)

  • Ask a Brand Manager to Register You
  1. Contact the company or brand manager directly for the brand material you want to access. If they are an e-see® contributor client, the brand manager can register you as a user (and grant you access to their brands) within minutes.

  2. E-mail or Call the e-see® help desk on 0800 300 373 or help@e-see.com

For users of the www.e-see.com site

  • Register Yourself

    1. Click the register button from the home page (or any other marketing page) or the subscribe/register link on the Test-Drive start page.

    2. Read the instructions and follow the steps at the bottom of the page.

    3. Complete the application form at step 3. Remember to complete all mandatory fields.

    4. Click the Submit button to send your application.

      Note: e-see staff will receive the application, review it, may call you for more details and then once approved will register you on the system. The system will then generate a user id and password and email with your user details.

      Once you have received your welcome to e-see® email including user id and password you can go to www.e-see.com and logon.



  • Ask a Brand Manager to Register You

    1. Contact the company or brand manager directly for the brand material you want to access. If they are an e-see contributor client, the brand manager can register you as a user (and grant you access) within minutes.

Note: If you are a new user you will need to accept the User Licence Terms and Conditions.

lost password

Lost your password or user id?

You can retrieve your user id and password from the Request Password page here.

Then enter your User ID (if known) or your registered email address* and the system will email your user id and password automatically.

* Note: this is the email address that is recorded against your user details in the e-see system.

If this doesn't work for you. Please contact the e-see helpdesk by email or phone. You will need to supply the following information

  • Your name
  • Your organization name
  • Your phone number
  • Your email address
  • Your User Id (if available)

e-see helpdesk staff will then check your details and email you your password.

Please note that for security reasons, we can provide your user id, but cannot provide the password over the phone. The email, advising password, will be sent to the email address recorded for the user on the system.

Searching

To search for brand assets, to enable you to view,  download or request access to a Brand/Category and any related assets..

  1. Click the search button in the main menu.
    This displays the "Search" page.

  2. Enter your search criteria (i.e. the brandname, productname or keyword you are looking for).

    If the search criteria is left blank the system will list all brands, sub-brands and categories.

    Note: only 20 brands, sub-brands or categories will be displayed per page (Scroll to the bottom of the page and click <next20> to view the next 20).

  3. Specify your search type by selecting one of the following options (or just accept the default setting).

    Exact Phrase - a match will only be found if all the words are identical to your search criteria.

    All Words - a match will be found if all the words in your search criteria are used irrespective of the order.

    Any Word - a match will be found where any of the words used in your search criteria are found.

  4. Then Choose to search either All brands (default), Accessible brands (unlocked brands that you have already been granted access to) or Non-accessible brands (Locked brands that you would like to request access to). The default is All (both locked and unlocked).

    When you search ALL brands you can clearly see which brands are Locked or Unlocked by the Padlock image, which is black and open for Un-Locked and red and closed for Locked.

  5. Click the Search button to begin the search.
    This displays the search results which are sorted by Brand/Category then Formats.

  6. From the search results list select a Brand/Category or Format by clicking on the brand/category name to preview it (Note if you are searching Locked/Non-accessible brands - you will only be able to select and preview a brand or category name).

    This displays a preview page of all the Brand/Category's associated assets/formats or the Download page of a single selected format (if you clicked on a format name).

Previewing Locked/Non-Accessible Brands

If the preview is of Locked/Non-Accessible brand, a Request Access button will appear. Click the <Request Access> button to go to the request access page. This allows you to request access to the brand you are previewing. The brand manager can then elect to authorise or unlock the brand for you. More info on Requesting Access

Previewing Unlocked/Accessible Brands

If the preview is of an Un-Locked/Accessible brand you can click on a thumbnail image to go to the Download Page or if you're the brand manager for this brand you can also click on the <User Access For Brand> button to review and edit access for all the authorised users for this brand, sub-brand or category.

downloading

This allows you to download brand assets (data) that you have access to.

You would have previously selected a Brand/Category by selecting the Search option and performing a Search.

  1. Click on a Brand/Category name

    This takes you to the Preview page for the selected brand/category.

    Here you will be able to see thumbnails of the assets/formats available, plus information and hyperlinks related to the brand/category selected.

    For example you can link to the Contributor page, send an email to the brand manager or a proxy manager and download or open the Brand Standards Manual (usage guidelines) for this brand/category (if available)

    (Alternatively Click the Format name to go directly to the Download page for that format. Note: you will only be able to do this if the brand is Unlocked or Accessible)

  2. Click on the format image you wish to download.
    This takes you to the download page.

    The download page displays, a larger preview image, metadata pertaining to the asset/format (including a unique Format ID, original publishing date and the last modified date), files available for download and a Reason for download entry box.

    Files available for download are divided into Format Variants (e.g. CMYK or SPOT colour) and File Formats (e.g. Macintosh-EPS-vector-high quality).

  3. Select a Format Variant by clicking the radio button next to the variant you want. Note that the first variant in the list is selected by default.

  4. Select a File Format. Note there is no default file format selected. To change the file format click the dropdown arrow and select a file format from the available list.
    If you're not sure which file to select read the note below.

  5. In the Reason for Download box type a reason for downloading your selected image.

  6. Click the Download button.
    This will display the download confirmation page.

    Check the download details to ensure that you are downloading the correct file. Check the file size and download time and note the filename for download.

    Click "Yes" to confirm and proceed with the download. Once confirmed your browser will take over the download and present you with a pop-up dialogue box where you can choose to open or save as the file.
    Select save as and then choose where on your computer system to save the file to.

    If you think the file is too large or the download will take too long. Try selecting an alternative Variant or File Format. Click "No" (or click "back") on the confirmation page to return to the download page to select a different file.

    Selecting "No" on the Download Confirmation page will return you to the download page

 

what file do I choose to download ?

Not sure which file to select for download ?  Here is some basic guidance. However you may wish to refer to the file types page for more details.

If you are going to use the image in an office type application (such as Microsoft Word, Excel or PowerPoint) and do not require magazine print quality - then you should download a low resolution (low res 72dpi) image such as a BMP or PICT file. These are raster (like a photo) images that cannot be edited and are relatively small in file size for quicker downloading due to their low resolution.

If you are going to use the image in an office type application (such as Microsoft Word, Excel or PowerPoint) but want a high resolution image for reproduction, you should download a high resolution (300dpi)Tiff  for a photographic image or a Vector EPS file (i.e. usually line art logos) if available. Office applications will generally convert these (when they are inserted) to office compatible file types. Please note however that the 300dpi photographic images will be of a larger file size and therefore slower to download.

If you are using a graphics application then you can select most files depending on your application and requirements. (e.g. pick an illustrator eps or Photoshop eps for Adobe Illustrator or Adobe Photoshop). e-see has files available that will be compatible with most graphics applications so that you can open or import and work on the original file. Check what  file format your application supports. If you can't get a file that is compatible - please call us.

If you want a file for signage - you will most likely need a vector file that can be scaled up or down. You will need a graphics drawing application to work with these files (e.g. Adobe Illustrator, Corel Draw, Macromedia Freehand, etc)

Contributors

search for contributor

Use this function to search for a Contributor (brand owner/brand custodian) organization.

  1. Click the <contributors> button

  2. Enter search criteria in the Contributor Name field.
    Note:  If no search criteria is entered all available Contributors will be displayed.

  3. Click the grey <Contributor Search> button.

    This displays a list of Contributor names that match your search criteria.
    After completing the Contributor Search click on the Contributor Name you want to view.

    Alternatively you can perform a search for a brand or category, preview the brand/category and then click on the Contributor name at the top of the preview page.


    If you can't find the Contributor you want, try searching for a brand first by clicking the <search> button, and then click on the Contributor name on the preview page.

  4. Click the <brand> button to re-display the contributor page with a list of all the Contributors' brands/categories listed at the bottom of the page.

    You can also click the Brand/Category name on this page to display the preview page for that brand/category.

Note: If you are in a skinned version of e-see, you will not be able to see / or use the contributor button.
 

maintain contributor

 Note: Only authorized Contributor Managers may maintain Contributor details.

Use this function to maintain Contributor details.

You would have previously selected a Contributor by selecting the <Contributors> button and performing a Contributor Search.

  1. After completing the Contributor search click on the Contributor name you wish to update.

  2. Click the <Maintain Contributor> button. This displays the Contributor details page.

  3. Update Contributor details as required.

  4. Click the <Save> button to save all updates.

For assistance in completing the Contributor Message and FAQ fields follow the steps below:

 

  • Home Page URL (this is an optional field) Note: You must enter http:// in front of your www address.

  • Contributor Message (this is a required field).

    You can either click the Standard Message checkbox, type a Contributor Message or choose both (in which case your text will be added to the bottom of the standard message).

    Note: You will need to enter HTML tags to your text to achieve punctuation and paragraph styles.

  • FAQ "Frequently Asked Questions" (not a required field)

    Click the FAQ checkbox if you want to use the standard FAQ's.

    • To update any existing FAQ'S

      1. Click the FAQ button.

      2. Make the required changes.

      3. Click the Update button.

    • To Add a new FAQ

      1. Click the FAQ button.

      2. Click the Add button.

      3. Type the new FAQ.

      4. Click the Update button.



add contributor

Note: Only Administrators may add a Contributor.

Use this function to add (or delete) a new Contributor.

To Add:

  1. Perform a contributor search. The <New Contributor> button appears.

  2. click the <New Contributor> button

  3. complete the relevant fields

    Note: The Contributor Manager must be a registered user. Therefore you may have to add a new user before you can add a contributor.

To Delete:

  1. You would have previously selected a Contributor by selecting the <Contributors> button and performing a Contributor Search.
  2. After completing the Contributor search click on the Contributor name you wish to update.

  3. Click the <Maintain Contributor> button. This displays the Contributor details page.

  4. Update Contributor details as required.

  5. Click the <Save> button to save all updates.

For assistance in completing the Contributor Message and FAQ fields follow the steps below:

Users

finding a user (user search)

This function allows Brand Managers/Proxy Managers and Administrators to search for Users in order to grant brand access, maintain user access , maintain user details, or make the user a proxy brand manager.

You access this function by selecting the <add users>, <access> or <proxies> button from the main menu.

This displays the User Search Page.

  1. Enter your search criteria.

  2. Click the <user search> button.

  3. This displays the search results, which are sorted in alphabetical name order (First name, Surname). Basic user details are shown including user name, user id, users email address, users organization, and the user id of the manager that registered the user on the system. It also records the total number of records returned from the search.

    Some of these items are clickable depending on circumstances as follows:
    • If you have arrived at this page via the <access> button, you will see a heading User Brand Access at the top of the page. You will be able to click the user name (which will be a hyperlink) to go to the "access" page where you can amend or grant access to your brand(s) for this user. You can also click on the users email address to send them an email. If you can't find the user you want, try again with a different search criteria or possibly the user does not exist on the system yet.

      To add a User. Enter their email address in the email entry box. Then click User Search. If the system finds no matching user. The New User button will appear. You may click the New User button which takes you to the User Details - Add User page.

    • If you have arrived at this page via the <add user> button, you will se a heading Maintain User at the top of the page. You will be able to click the user name to go to that users User Details page to edit the users details, delete the user or manage brand access.

      Note: You can only edit user details for users that you have personally added to the system (unless you are an e-see administrator). You can also click on the users email address to send them an email.

    • If you have arrived at this page via the <proxies> button, you will see a heading Proxy Brand Manager at the top of the page. You will be able to click the user name (which will be a hyperlink) to go to the "proxies" page where you can appoint the user selected as a proxy of yourself (i.e. with all your management and access rights - except they cannot appoint a proxy themselves). You can also click on the users email address to send them an email.

  4. Select an entry from the Search Results list.

add a new user

Enables you (if you are a brand/proxy brand manager or administrator) to add a new User to the system.

  1. Click the <Add User> button on the main menu.

  2. Check to see if the person is already a registered user by searching on their email address. Note: You must search on the e-mail address to ensure that you do not add a duplicate user id.

    Tip:
    We suggest you do a quick search by name first, because people often change email addresses.

  3. Once the email search is complete, the <New User> button will appear along with any users with a matching email address. (If the user is already listed then you don't need to add them again. If already listed click the access button in the main menu and search for them again by name to grant them access to your brand(s))

  4. If not listed then click the <New User> button.

  5. Complete the following user details:

    First Name This is a required field
    Last Name This is a required field.
    Email Address This is a required field.
    Phone Number This is a required field.
    Fax Number This is an optional field.
    Organisation This is a required field
    Address These are required fields.
    Industry This is a required field.
    Country This is a required field.
  6. Click the <Save> button

The page will re-load with the new users ID displayed at the top of the form. The system will already have emailed the new user with their user id and password, but you may want to make a note and advise them directly.

Remember: to check their email address. This is critical as all correspondence will be sent to that email address.

 

update user

Allows you (if you have access) to update an existing e-see User. Note: You can only edit or update user details of users that you have personally added to the system or your own user details. All users can edit their own details.

  1. Click the Add User button.
    Complete the User Search fields.

  2. Click the User Search button to perform the search.
    This takes you to the Search Results page.

  3. From the Search Results List click the user you wish to update.
    This takes you to the User Details page

  4. Edit the User Details as necessary.

  5. Click the Save button to save changes.


delete user

Allows you (if you have access) to remove an existing User and any associated brand/category access. Note: You are only able to delete users that you have personally added to the system. If you wish to have a particular user removed (that you did not personally add) please contact the e-see help desk.

  1. Click the Add User button.
    Complete the User Search fields

  2. Click the User Search button to perform the search.
    This takes you to the Search Results page.

  3. From the Search Results List click the user you wish to delete.
    This takes you to the User Details page.

  4. Click the Delete button.  Note: as a brand manager you may need to revoke access to your brands/categories first.

    Note: You cannot delete a user that has existing access to brands or has downloaded images or a user who is a Brand Manager. Contact the e-see helpdesk for assistance.


my details

Allows you to update your own details (including your password)

  1. Select the <my details> button from the main menu

  2. Update your details as listed below

    Password Enter a new password if you wish to change it. Note: password must be at least 6 character in length.
    Confirm Password Re-enter the same new password to confirm that you typed it correctly above.

    Then click <Update Password>. A confirmation message "Password Updated" will appear. Note: clicking the "Save" button at the bottom of the page will not update the password)

    First Name This is a required field
    Last Name This is a required field.
    Email Address This is a required field.
    Phone This is a required field.
    Fax This is an optional field.
    Organisation This is a required field
    Address These are optional fields.
    Industry This is a required field
    Marketing Material This is a check box to indicate whether you want to receive marketing material
    Country This is a required field.
    Terms & Conditions Displays the date you accepted e-see’s Terms and Conditions. This field cannot be updated
  3. Click the Save button. Note: clicking the <update password> button at the top of the page will not save your changes to your user details

requesting access

This function is used to request access to a locked or not-accessible Brand/Sub-brand or Category.

You would have previously selected a Brand/Category by selecting the Search button on the main menu and performing a Search.

  1. Search for a brand or category

  2. Click on the Brand/Category name from the Search Results Page that you wish to request access to. This will display the brands preview page

  3. Check that this is the correct brand/category and then click the <Request Access> button.

    This will take you to the "Access Requests" page. This page will display the status of all your access requests made in the last 30 days.

  4. Enter the reason you require access to the brand (mandatory).

  5. Then Click the < Request Access> button.

    An email message will be sent to the Brand Manager and Proxy Brand Managers listed detailing your user details, the brand you have requested access to, the date and time plus your reason for the request. The "access requests" page will then be re-displayed with your requests for the last 30days listed.

  6. Once the brand manager has received your request they will respond by granting or denying access. As soon as they do, the system will send you an email advising that your access have either been "denied" or "granted".

    Note:
    The brand manage may take some time to respond depending on whether they are in their office etc, or they may ask you for more information. e-see cannot control the length of time this takes. If you are waiting too long or need urgent access, you can call the contributor or brand manager directly, or you can call the e-see help desk for assistance.

Access - Granting/Maintaining Access

access by user

This function enables you to grant, edit or revoke access to your brand(s), sub-brand(s) or category(s) for any selected user.

You would have previously selected a user by selecting the <access> button in the main menu and performing a User Search.

grant access

Allows you to grant access to a brand or category for the selected user.

  1. Click the user to display the access page and their current  brand access

  2. Brands the user has access to and does not have access to will be displayed with the following details:
    - Brand
    - To (Expiry Date)
    - Maximum (Max) Quantity downloadable
    - Number (No.) Downloaded to date

  3. Click the <Grant Access> button.

  4. Click the checkboxes for the Brands you want to grant access to.

  5. Enter Access Start Date (defaults to today's date)

  6. Enter Access End Date or select one of the pre-set period radio buttons
    This is an optional field. If no date is entered the user would have unlimited access.
     

    Note:

    If you enter an access end date and a download quantity, this will allow access until either either one of the criteria is fulfilled.

  7. Enter Download Quantity.
    This is an optional field. If no quantity is entered the user would have access to an unlimited quantity.

    Note:

    If you enter an access end date and a download quantity, this will allow access until either one of the criteria is fulfilled.

  8. Click the Save/Update Limits button to save the changes.

  9. An email message will be sent to the user advising that they have been granted access and what limits to access apply if any.


update/revoke access

Allows you to edit or revoke access to a brand for the selected user.

  1. Click the user to display the access page and their current brand access.

  2. Brands the user has access to and does not have access to will be displayed with the following details:
    - Brand
    - To (Expiry Date)
    - Maximum (Max) Quantity downloadable
    - Number (No.) Downloaded to date

  3. Click the <Update/Revoke> button.

  4. Click the checkbox/boxes for the Brands you want to update or revoke access to.

  5. If Revoking: Enter a reason for the revocation (A message will be emailed to the user advising revocation and the reason you enter)
    Click the <Revoke Selected> button to revoke access for each individual Brand as selected or click the <Revoke All> button if want to revoke access to all brands listed

  6. If you want to change/update access details for selected brands.
    Enter Access Start Date (defaults to today's date)
    Enter Access End Date or select a pre-set period radio button option.
    This is an optional field. If no date is entered the user would have unlimited access.
    Enter Download Quantity.
    This is an optional field. If no quantity is entered the user would have access to an unlimited quantity.

  7. Click the <Save/Update Limits> button to save the changes.

  8. An email message will be sent to the user advising that their access has been revoked or changed and if changed what new limits to access apply if any.

access by brand

Please Note: There are two ways to amend access to Brands/Categories. Either by brand (explained below) or by individual user explained in access by user

Maintain Access by Brand gives you the ability to modify the access of users who already have or have had access to a specific brand (as opposed to granting access to a new user).

You must first select and preview a Brand/Category (that you manage) by selecting the Search button and performing a search. Note that brands that you have management rights for are denoted by an asterisk(*) next to the brand/category name.

  1. Search for a brand or category that you manage.

  2. Click on the brand or category name to display the preview page for that brand/category.

  3. From the brand Preview page click the <User Access for Brand> button (will only appear if you are a manger or proxy manger for the brand).

    This displays the User Access page for the brand selected and the User Access Details, for users with current access or for users whose access has expired by date.

    Note: users whose access has expired by "number of downloads", will not appear.

  4. Update User Access Details as required.

    Note: Start Date cannot be prior to today’s date
               End date must be greater than the Start Date.

  5. Click the <Update> button when complete.

Access Requests - managing access requests

Choose this option to view and answer Access Requests that have been received (i.e. to Grant or Deny access to Brands following an access request).

  1. Click the Requests button in the main menu or click on the pop-up message "You currently have x number of requests outstanding" on the Start page.

    This displays the Pending Access Requests page and all the current pending requests that have not been processed.

  2. Click the checkbox beside the request that you wish to Grant or Deny.

  3. Click the Grant or Deny button.
Deny If you chose Deny, type a reason in the Reason Denied field.
This reason will appear on the Access Request response email to the User.
Once you have entered a reason for denial (e.g. ask for more information), click the Deny button. The system will then send the user an email advising the denial and reason you have provided.
   
Grant If you chose Grant, Select any additional brand(s) that you want to give access to and then select the limits you require (note: if you leave access limits unchanged the user will get unlimited access - until you amend their access at a later date). Then click the "Save/Update Limits" button to save and grant access. An email will be sent to the user notifying them that their Access Request has been granted, and if limited, the expiry date and/or download limit conditions of that access.
Users can then logon and download the data tey require provided they do so within any limits you have set.

proxy managers - adding/maintaining proxy managers

Allows Brand Managers, Contributor Managers and Administrators to assign a registered e-see user as Proxy Manager to an existing Brand Manager. Note: You can only appoint a registered user as a Proxy.

  1. Click on the <proxies> button.
    This takes you to User Search where you find the User that you wish to make a Proxy Brand Manager.

  2. Having identified the user and clicked on the user name, the Proxies - Brand Manager page is displayed. This shows the user name and user organization name for the user you have selected to make a proxy at the top of the page.

    Next is a list of all Brand Managers you control (usually just yourself) and whether the selected user is currently a Proxy for each.

  3. To Appoint a Proxy: Check the checkbox by clicking in the checkbox beside those Managers that you wish this user to be a Proxy for.
    Existing assigned proxies will already be checked (seen as a tick in the check box).

  4. To Remove a Proxy: Un-Check the checkbox by clicking in the checkbox beside those Managers that you wish this user to be a Proxy for. The checkbox should be empty.

  5. Click the <Update> button to store the new/updated proxy information.

  6. To check that the your proxies are correctly set up, search for and preview your brand(s). Your proxies will be listed under the brand manager name on the preview page.

    Note: Your proxies can do everything you can do on the system, except they cannot add or maintain proxies themselves. They will also received access request emails. You should   discuss your internal policy on who responds to access requests.

 

Reports

A number of reports are available providing dynamic and printable audits of activity of the system.

activity report

You can view your own download activity by brand, sub brand or category (Users/Brand Managers) or download activity for your managed brands (Brand Managers only) including who downloaded, what, when and reason for download.

  1. Click the <activity> button on the main menu.

  2. Type the date in the Period From field.
    The default is one month prior to today’s date. For example: if today’s date equals 4 August 1999 the default date would be 4 July 1999.  Enter the date format as dd-mmm-yyyy
    (eg. 11-aug-1999).

  3. Type the date in the To field.
    The default is today’s date.  Enter the date format as dd-mmm-yyyy (eg. 11-aug-1999).

  4. Click either the My Downloads or Brand Downloads button.
    Note: If you are not a Brand Manager the Brand Downloads button is not available to you.

    This will open another browser window which displays an on screen report with the following features.

My/Individual Downloads Report

From the on screen report you can link to other pages. They are as follows:

Managerlinks to email the Brand Manager.
Brand links to the Brand Formats Preview page.
Format links to the Formats Preview and Download page.
Times links to the Download Details page (see below).

Brand Downloads

From the on screen report you can link to other pages.

Links available on this page are as follows:

The Brand field links to the Brand Category View Page.
The Format field links to the Preview Page.
The Times field links to the Brand Downloads Summary Page.

Click on the number (e.g.  2) of Times next to a format name to display the  Brand Downloads Summary Page.

Brand Downloads Summary Page

The Brand Downloads Summary page displays the UserID, Name, Organisation and the Number of Downloads of this Brand in the period specified.

There are also links to other pages from this screen:

User-ID field links to the User Brand Access Page.
User Name field links so that you can email the User
Downloads fields links to the Download Details Page.

Click on the number (e.g. 2) of Downloads for a particular user to display the Download Details page.

Downloads Details Page

The Download Details page lists the date and time of each download, the variant and file type downloaded plus the reason provided by the user at download time.

To Print a Report

To print a report use the Print option on your Browser.

Summary Report

This produces a report for Managers, Proxies and Administrators on downloads (including download charges if any for administrators only) for a selected period. This report is designed for printing but can be viewed online.

  1. Click the <report> button from the main menu.

  2. Type the date in the Period From field.
    The default is today’s date one month ago. For example, if today’s date equals 4 August 1999 the default date would be 4 July 1999.
    Note: It is best to enter dates in format dd-mmm-yyyy

  3. Type the date in the Period To field.
    The default is today’s date.

  4. Click the <Report> button.
    This opens a new browser window and produces a Summary Report that sorts and lists downloads by brand, sub-brand or category and then by date/time.

  5. Print the report using your standard browser print options.
    Tip: Switch off Background Printing in your browser options/preferences.

  6. Close the Browser window.

Admin Report

This produces a report for Administrators only. The report will contain the total number of current users on the system, users created in that period, number of downloads for the month and total number of brands, formats and file types which have been loaded or entered into the system.

  1. Click the admin button from any page (only available to system administrators).
    This displays the Administration Report page in a new browser window.

  2. In the Period From field type the date (use dd-mmm-yyyy format).
    The default is the first day of the previous month.

  3. In the Period To field type the date.
    The default is last day of the previous month

  4. Click the Report button.
    This produces a report that sorts and calculates relevant Administration information.

  5. Print the report using your standard browser options.

  6. Close the Browser window.

MBU Report (megabytes used)

This report lists total amount of storage space used for each contributor or brand/category. This report is not available online and is usually run monthly for billing purposes. Contributors can request this report from the e-see data centre.

Formats Report

This report lists movement in brand formats/assets, including dated added, updated and removed for all assets in the system. This report is not available online and is usually run monthly for billing purposes. Contributors can request this report from the e-see data centre.

Users Report

This report lists all users, date added, manager who added and user details including user id but not password. This report is not available online and is usually run monthly. Contributors can request this report from the e-see data centre.

Online Help

This will provide online Help to all procedures within the system. The Help pages and text will include links and button navigation to:

  • Help Index ( an alphabetically sorted list of links to Help pages)
  • Frequently Asked Questions page
  • Glossary page (e-see terminology explained)
  • File Type information (explanation of file types and their use)
  • Known Issues (list of solutions to known issues)
  • Downloads (links to free downloads) including a user guides.

To Get Help

  1. Click on the Help option from any page.
    This will open a new browser window and display Help for the page you are currently on (when logged on) or the help index (not logged on). If it is unable to locate Help for that particular function the Help Index page will be displayed.

To Exit Help

  1. Click File, Close and the Help window will be closed.

User License Terms and Conditions

When you logon for the first time you will need to register by accepting the e-see User License Agreement Terms and Conditions . A copy of which is presented below.

After reading the User License Agreement Terms and Conditions you need to choose whether you wish to receive marketing material (news and offers from e-see) before accepting or canceling.

  1. Click the checkbox if you do not wish to receive Marketing Material.

  2. Choose I Agree to accept the Terms and Conditions or Cancel if you do not agree.
    I Agree  -   This takes you to the Start Page and gives you user access.
    Cancel  -   This take you to the Home Page with no user access activated.

    Please contact e-see management if you have any questions relating to the User License.

User Licence Agreement

Parties:

  • e-see international limited (e-see®)
  • The User (You)

This is a licence agreement between you and e-see international limited (e-see®).

Carefully read this agreement in full before using e-see®. By downloading any image from e-see® you agree to be bound by the terms of this agreement.

This licence is subject to the Brand Image Facility Management Agreement.

User Rights and Restrictions

e-see® grants you the right to access and download the brands, labels, data, information and media (the "images") that you have been granted a licence to use by the relevant brand owner.

When using downloaded images, you agree to abide by the brand usage guidelines as set out in the relevant Brand Standards Manual(s).

It is the responsibility of the end user to ensure that use of images complies with any conditions of use set down by the Contributor in its Brand Standards Manual or otherwise.

You may:

load the image and use it only on a single computer (with a single input terminal) or on a network or intranet environment within your own organisation and which is under your control and use the image solely as an end user, copy and incorporate the image but only for personal, internal firm or company and test sample use, including in any rough or draft layouts or in any final published or printed form, transmit the image to a broker, printer or other party authorised to lawfully print or produce the image, deal with the image in any other way provided you have the prior permission of the brand owner and this is conveyed to e-see® in a satisfactory manner.

You may not:

use the image in or on any multi-user arrangement, server or on an electronic bulletin board system or use the image on any materials distributed outside your firm or company or in any online or other electronic distribution system unless you are distributing rough, draft or final layouts for client approval, sell, sub-licence, rent, lease, loan or copy or create derivative works based on the whole or part of the image, except as expressly provided in this agreement, use, reproduce or deal in the image in any way, make any defamatory, libelous, indecent or otherwise unlawful use of the image.

Warranties

e-see® warrants the digital copy of the image in the form downloaded by you is free from defects in materials and workmanship for a period of 90 days from accessing the image. If a defect is found in the image, e-see® shall replace the digital copy of the image or refund the licence fee if any. Otherwise, the image is provided "as is".

Limitation On Damages

The express terms of this agreement are in lieu of all warranties, conditions, undertakings, terms and obligations implied by statute, common law, trade usage, cause of dealing or otherwise, all of which are hereby excluded to the fullest point of law. Neither e-see® nor brand or image owners shall be liable for any incidental, special or
